Hello Trello ⟩

Happy new year/new semester to all! Continuing from my last blog, let’s get organized for the semester.

I live laugh love ride and die by my Trello boards. I was introduced to Trello in a coding class in undergrad for the classic use of “to do” “doing” and “done” lists. As someone whose work style leans toward start-to-finish in one sitting, this workflow doesn’t really work for me. Trello is also built for team workflows in mind BUT I realized Trello had a lot to offer for personal organization.

My system is intuitive to me but challenging to explain, so here it is in 4 parts.

1. Multiple boards/visualizations
There are 3 main parts to the anatomy of Trello. “Cards” are single events/tasks. “Lists” are lists of cards. “Boards” are pages of lists. Within each card, you can add sub-checklists, descriptions, and attachments.

I operate my life around 2 boards: my due dates and my schedule. As soon as the syllabus is released each semester, I input all of the due dates into my board and color code them (see #2). This board can be viewed as lists for each class or as an auto-populated calendar of due dates.

I then update my schedule board roughly every month to schedule out when I’m going to all of that work around my regularly scheduled events (class, appointments, etc.). I add in personal plans and other to-dos as they come up.

2. Color coding
Trello offers 10 colors to label each card. I use these colors differently for each board.

For my due date board, each class gets its own color, and then I additionally categorize each task by type. Yellow for readings, Red for big assignments/exams, Orange for anything in between.

My schedule board is a bit more complicated: class (light blue), homework (dark blue), fieldwork (black) student ambassador work (yellow), OTSC (orange), any other club (mint), important personal to-dos (red), social plans (pink), workouts (purple). I do this so I can see the balance of my day/week. If I notice too much dark blue, I’ll try and rearrange to make sure I have some restorative pink or purple in there.

3. Keyboard shortcuts
Trello has keyboard shortcuts to add due dates, label cards with colors, create cards from templates, and quickly switch between boards. Using these shortcuts dramatically increases the efficiency of using Trello for scheduling.

My favorite one is hovering a card and pressing C and it disappears, which is how I mark something as ‘done’ — a thrilling mix of achievement and relief.

4. Drag and drop
If I don’t get something done when I planned to, I like how Trello has an easy drag-and-drop feature for the cards. It lets me quickly rearrange my plans/tasks without having to rewrite anything. Honestly, it feels way less shameful and I see it as a metaphor for trying to be more flexible and give myself some more grace.

This semester, Global Initiatives hosted our first in-person Friendtorship (friendship + mentorship) Circles event for the USC Chan community. Friendtorship Circles were intentionally created with students in our Post-Professional Master’s, Entry-Level Master’s (first and second years), OTD, PhD, Bachelor’s to Master’s, and Bachelor’s to Doctorate programs. Meetings were held one time per month, with each event including large and small group discussions and activities for students to get to know each other.

The Friendtorship Circles were started in the summer of 2020 as a product of the Chan Community Commission, a student initiative that aims to help cultivate connections between incoming Master’s students. Second-year Professional Master’s students formed this commission, recognizing the importance of social connection, having received a significant portion of their education experience remotely. At the end of the summer, Global Initiatives decided to add the Friendtorship Circles to their programming with a focus on the international student population.

Students took the time out of their busy schedules to share moments with other students, some whom they had never met before; this represents the nature of the occupational therapy community. Our very own Josh Digao (MA-1) stated that, “Friendtorship was a way for me to connect with people I would have never met otherwise and I am grateful that Global Initiatives provided this amazing opportunity to us.” The Friendtorship Circles served our community by providing an avenue for international students to get to know local students from other cohorts in the Chan Division. Below are some pictures from our time together during the Fall semester. I am personally excited to continue this effort as a member of the Friendtorship planning committee and plan to help expand the program this Spring semester!

So You’re in LA. What To Do? ⟩

Here we go, my first blog of the year! If you read my last blog (which was the last blog of 2021), I said that one of my new year’s resolutions is to take more photos around Los Angeles and to explore new places. I would like to preface this blog by saying that I am an international student and by no means am I a pro at being an LA person. You may be reading this because you’re also an international student, or maybe not even an LA native, but I hope this list can help build your experience here in LA. Personally, as an international student, this is my first time staying in LA for as long as I have. Now while I am still trying to navigate the logistics for 2022 (being sensitive that there is still very much a pandemic going on), I am privileged to have been able to experience LA, even just a tiny bit. Allow me to show you some of my favorite experiences that I have had so far, and how YOU can do it too!

#1: Having a yummy meal in Downtown LA
In LA, there’s a bunch of food spots that you can go try. All I did was hit Google with the keywords, “top places to eat in LA”. From there, you can find a ton of places to eat with food that can be both inexpensive and delicious! Food blogs and YouTube videos have helped me find out cool spots too!

#2: Watching a USC football game with friends
Nothing screams America more than American Football. And don’t worry if you don’t understand the sport. You’ll be surprised to find that there are a bunch of people who watch and yet do not understand what’s going on. I do encourage you to just go in the stadium and feel the school spirit looming around. It’s one of the best feelings to experience as a Trojan! I will say, it’s been quite helpful to watch with someone who actually knows the sport so they can explain things as they happen. (I did my homework prior, and it has been helpful too!)

#3: Experience the social activities (safely, of course)
As an international student, it is also crucial to create good relationships with your fellow students here in Chan. I am so lucky to be working with such a fun, diverse group of people who share the same passion as I have in occupational therapy. Attend events organized by amazing offices such as Global Initiatives. Just put yourself out there, and you’ll quickly realize that there are a bunch of similar-minded people in LA that’s for sure will make you have the best time.

#4: Hike with your friends
You may or may not like physical activity, but I highly recommend you do at least one hike in LA. Wherever you hike, there are fantastic views and sights to see. You can easily look up fantastic places to hike up and you will be rewarded (almost always) with a breathtaking view of either California or even Los Angeles!

I can go on and on about the things I did so far in Los Angeles and things I recommend doing. And even for me, as I write this, I still have an abundance of activities I have yet to do! My mantra throughout this experience is that: “You are responsible for your own memories. Craft them, and let your stories paint the colors of your life.” You’ll thank yourself down the road with all the stories and memories you have made.

When In Doubt, OT it Out! ⟩

The holidays were amazing, not only because I got to travel back home to California, spend lots of time with my family, and see some of my friends. But also because it came with a much needed break. A break from classes, assignments, presentations and from residency. As amazing as this journey is, sometimes the load does get heavy. This past Monday, the spring semester started and I was admittedly feeling less than inspired logging into my first zoom class of 2022. As an occupational therapist, constantly surrounded by other occupational therapists, sometimes a light bulb goes off to practice what I preach. I call it “OT’ing myself.” While settling back into my typical workflow I’ve decided to focus on engaging in some of my most meaningful occupations to fill my cup and replenish my energy so I can be the best version of myself. This week I’ve been more intentional with:

Listening to Music:
My days have been filled with music and singing and dancing (badly) around my house after work. I play my favorite playlist when I wake up in the morning, look for new songs in my free time, and play my go-to feel good songs when I’m sitting in traffic.

Exercising:
As an ex-college athlete, I have recently found myself missing my playing days a lot more than usual. And although I can’t go to the gym and play pick-up games because of covid, I have been more diligent with getting some form of exercise everyday. Taking online cycling classes with my favorite instructor and a few friends has been helping to keep me in the right mindset!

Cooking:
I absolutely LOVE cooking, and I love trying to make new recipes even more-so. This week I searched my saved videos on TikTok to find those recipes that I saved and forgot about . . . and actually made one! It was delicious, if I do say so myself, and exactly what I needed.

I’m also starting to write down all of my favorite recipes to make and making my own personal cookbook. So stay tuned for that in a book store near you. 😉

Sleeping:
New year, same me. Like I may have mentioned before, I am a self-proclaimed sleepy girl. I love love love sleep, but I am also a night owl so I can never seem to get enough of it. So this week I made it a priority to go to sleep earlier to hopefully set myself up to have more peaceful mornings and have more energy throughout the day. Next skill to master, waking up on time.

As we head into the first Friday of the semester, I am feeling more ready to take on the semester thanks to this wonderful profession that I get to practice everyday, and remember, when in doubt, OT it out!

How to go to OT graduate school after being out of school for a long time/Step 4 — Getting letters of recommendation ⟩

This will be my last blog about how to go to OT graduate school after being out of school for a long time. No matter where you apply, you will need to have letters of recommendation. Knowing how to get letters of recommendation is not only useful for the graduate application process but some of the tips mentioned below can also be applied to other aspects in life. I guarantee that later in life you will need people to serve as a reference for your personality, character, and professional abilities. This will never go away. Trust me on this. At some point, you will need to ask someone that is not your friend or family to vouch for you personally and professionally. Although I put this as the last step, I must emphasize — DO NOT DO THIS LAST. In fact, this is one of the easier things you can start to do once you have decided that you want to go back to OT graduate school after being out of school for a long time.

Like the other steps, what I have written is what worked for me. You may decide to do something different. Remember, do what works for you. You do you!

Whenever I see the words “please submit letters of recommendation” or “provide professional references”, I always get stuck trying to figure out who I should ask. You might feel this way too. For some of you, this might be based on thinking you have no one to ask. For others, you might have an idea of who to ask but are unsure of what they might say. For almost everyone, there is the problem that once you do have an idea who to ask, you don’t know how or when to ask. All are very important concerns that you will need to figure out on your own, or with a trusted friend or mentor prior to asking someone to write a recommendation for you.

For those of you who think you don’t have anyone that can write a recommendation for you because you don’t know anyone other than your family and friends, or are an introvert or feel that you don’t think anyone would want to vouch for you as a future occupational therapist, let me stop you right there. Remember, you’ve already done this process before. You wouldn’t be here if you hadn’t. You did it to get into college. You’ve done it to apply for jobs, perhaps to rent an apartment, or even to adopt an animal. All have required you to get someone that is not your family or friend to vouch for you as a person. Applying to graduate school is no different. In fact, some of those people you used for recommendations in the past might work for this situation too.  You may be thinking, “Ok, but I’ve never been an occupational therapist before, so what can they possibly say to vouch for me to be an OT grad student?” Remember, admissions departments are trying to determine whether the program will benefit you and if you will benefit from the program. It’s important for them to find out why you are passionate about occupational therapy, what type of work ethic you have, and if you are an empathetic and caring person. Hearing from people who know you can help them answer these questions. What I did was I made a list of people who might be able to answer these questions. Remember we have been adulting for a while so there are probably a lot of people we know who would be happy to recommend you. People I thought of included a former supervisor, former colleagues, a pastor, a mentor, a fellow volunteer at a community service project I had done, and people in my prior career network. You are bound to come up with at least one or two people when you think back over the past 5/10/15 or even 20 years post-college.

If you still can’t think of anyone, you will be meeting a lot of people as you take classes and volunteer in preparation for meeting the graduate application requirements. In both areas, you will interact with people who will want to learn about your reasons for changing careers and wanting to be an occupational therapist. People will want to know you. If you haven’t already, allow these people to get to know you. Go out for a coffee with them, talk to them about your future, get their feedback on things you’re encountering or questions you have. As difficult as it might be, especially for us introverts, do all you can to make yourself known. I know this is hard. But don’t’ forget it is so much easier for people to write a recommendation for you if they know you. While I was initially reluctant to get to know new people, I got to know one of my community college instructors who showed genuine interest in me. I put myself out there by going to office hours and having meaningful conversations with them about my future professional goals. Even though I only knew them for about a year, when I thought about who I should get to write a recommendation they were one of the first people I felt confident would be able to speak to my character and abilities as it related to going to graduate school in occupational therapy.

Now, for those of you who have a list of people to ask but are unsure of what they might say about you. Here are some questions I used to determine if they were the right person to ask for a recommendation:

  1. How do I know them?
  2. Have they known me a long time? Do they know me well?
  3. When was the last time I spoke to them? What was the conversation? Did it end on a positive note?
  4. Have they ever shown any interest in my professional goals, interests, or life pursuits?
  5. Have they privately and/or publicly given me positive or negative feedback about my character, or professional skills?
  6. Have I ever read anything they have written? Was the writing clear?
  7. What do they think about my change in career? Are they supportive or shocked?
  8. Will their recommendation/perspective complement the other recommendations?

Once you have decided who to ask, do not wait. People need a lot of time to write a recommendation. If you can give them at least a month that would be great. Start by calling them or meeting with them in person. If you can’t speak to them directly leave a message and then follow up with an email. My conversations were easy because I had already been speaking to many people about going back to school. But if you haven’t talked to the person for a long time, start your discussion by catching up with them, and then once you start talking about what you are currently up to just say: “Hey, you know how I used to talk about going back to graduate school in occupational therapy, well I actually am starting to apply to schools now and I was wondering if you would be willing to write a letter of recommendation for me?”

To this day whenever I have asked for a reference or letter of recommendation, no one has refused. However, if someone does tell you they can’t write a recommendation, accept it and move on to the next person. Most likely the reason will be due to time. (This often happens when you ask professors who are maybe already writing a lot of recommendations while also trying to grade midterms or finals.) If they do agree to write a letter, make sure to send a follow-up email with simple instructions on what they need to do as well as a clearly indicated deadline. One week prior to the deadline check in with them if they have not submitted the recommendation. Once they have submitted the recommendation, make sure to send them a very sincere thank you email or better yet a card via snail mail! Finally, regardless of whether you get into graduate school or not, don’t forget to contact them after you find out. If you get into the school of your choice thank them again for their help and let them know your next steps. Also, if you didn’t get into graduate school, thank them again for their help and let them know your next steps. People like to know what happened!

Oh, one other response you might encounter when asking people to write a recommendation is the person you ask might ask you to write the recommendation for them. I always find this to be odd. While it cuts out the mystery of what they will say, it also means they really don’t know you or have very little to write about you. Either way they are not really recommending you but are signing off on you recommending yourself. Which is strange. I don’t do this but know people who have . . .

FYI — For my application, I ended up asking three very important people in my life. I asked a former pastor of mine who I had known for many years and helped him to do volunteer projects. I asked a former supervisor, who I had known for years. It’s funny because I just had a long phone call with her the other day. I also asked a person I met during my journey going back to school, the amazing occupational therapist I spent many hours observing while volunteering at an inpatient rehab. However, I had a list of about 6 people who I felt comfortable asking to give me recommendations or references. I keep in touch with them and am so grateful for their support.

I hope you have cultivated similar relationships with sincere and kind people who are supportive of your professional development and willing to say how amazing you would be as a graduate student and an occupational therapist. If this hasn’t happened get started today by reaching out to people from your past or starting new relationships if you can. As you continue to figure out how to go to OT graduate school, I hope that this blog entry as well as the ones I wrote before were helpful. I wish you the best of luck getting back into school after a long time. Remember it’s never too late to start something new!
